Medical Staff Assistant reports to the Director of Medical Staff Services and provides administrative support for the Medical Staff Services department by preparing reports, handling information requests, and performing tasks such as preparing correspondence, receiving visitors, arranging conference calls, updating databases, and scheduling meetings.This position is responsible for ensuring administrative and clerical functions related to the Medical Staff Services departments are completed in a timely and confidential manner.

Overview of Responsibilities

• Prepare reports, memos, letters, and other documents, using Microsoft Office e.g., Word, Excel, and PowerPoint software
• Read and analyze incoming memos, e-mails, submissions, and reports to determine their significance and responds or distributes accordingly
• Open, sort, and distribute incoming correspondence
• File and retrieve department documents, records, and reports
• Log information into the appropriate credentialing database
• Update credentialing database in accordance with established standardized data entry policies and procedures
• Assist with appointments and reappointments
• Greet visitors and direct them to the appropriate individuals
• Answer telephone and address the callers’ needs accordingly
• Maintain adequate stock of office supplies
• Arrange scheduling, A/V, catering, etc. for Medical Staff and internal departmental meetings, as requested
• Take notes at internal departmental meetings and follow up on action items appropriately
• Coordinate as needed with other hospital departments such as Maintenance, Housekeeping, Information Technology, etc. for office needs
• Assists in a variety of duties, as requested, including, but not limited to, the annual dues assessment and collection; expiring information such as DEA, license, professional liability insurance, specialty board certification status; maintaining and updating credentials files in the practitioner database, assisting with notification of and sending out notices/correspondence

 

 

Education/Experience

Education Required: High School diploma required
Education Preferred: Bachelor’s degree in either Business, Business Administration, Communications or other related technical course of study preferred.
Experience Required: 1 – 3 years of secretarial and/or administrative experience. Experience in an office environment with knowledge of office workflow including data filing and phone etiquette. Prior experience in healthcare is preferred. Appropriate experience in payor/network enrollment or billing is an additional benefit. Medical terminology preferred.

Other: Candidates should have the ability to work with minimal supervision, experience with Microsoft products, excellent oral and written communications skills, and attention to detail, excellent organization skills and the ability to adapt and become productive. Must be able to comprehend and follow established criteria as required by external regulatory agencies such as Indiana State Department of Health or CMS. Must be able to interact with physicians, administration and other customers internal and external to the organization in a positive, effective, and diplomatic manner. Must be able to cope with and meet short deadlines.

Schedule Details

Day Shift. Monday - Friday; Office Hours 8am - 4:30pm; Limited evening meetings.
